How to avoid purchase mistake

Hi,

i want to know how you guys go for purchase orders for equipment, what is recommended safest way to avoid mistakes.

We recently bought 3850x/WS-C3850-24T for our Philippine offices with C3850-NM-8-10G.

and overlooked that this module is only supported in few version of 3850x for example WS-C3850-12X48U-S switch.

and now we are in bad situation:) though not frequent but some time this situation does appear despite of efforts.

Even Vendor who gave us this equipment didnt notify us, may be he thought we getting modules for some other switch?

So please give some suggestions to avoid these kind of mistakes.

Unfortunately, everybody makes mistake.  The vendor would not know if the Bill of Material (BoM) is incorrect because they, the vendor, don't know how the parts are going to be used.  

Have you seen Cisco Commerce & Workplace site?  It's a good site to build your own BoM and the system can check if modules are compatible with the appliance or not.  Takes getting use to but a good site, nonetheless.  

i have tried it, but it lacks functionalities, like it wont tell you if you bought a 10G NM but didnt select any SFP modules, and later it should have options to tell if you selected NM that support 2 10G out of 4 ports , it should be able to tell you that you are buying 4 10G SFP but the module only support 2 10G SFP and 2 1G SFP.

still chance of errors with this one as well.
