Objective

The UC540W allows you to create voicemail notifications via email. When there is a voicemail in your telephone line that is connected to the UC540W, the UC540W sends you an email with the audio file of the voicemail attached. This way, you will always receive your voicemails even when you are outside of your work office. This article explains how to configure voicemail to email notifications on the UC540W, and how to retrieve those emails in Microsoft Outlook, for an IMAP email account.

SMTP Server Setup

SMTP (Simple Mail Transfer Protocol) is the protocol used to send emails over the Internet. In order to be able to send email notifications, you need to configure a SMTP server. This server can be internal (a SMTP server created within your network) or external (a SMTP server already established for public use, for instance Gmail).

Step 1. Log in to the web configuration utility of the UC540W and choose System > Domain Name Settings. The Domain Name Settings page opens:

Step 2. Click Add to add the domain of the SMTP server. The Add a DNS Server window opens:

Step 3. In the IP address field, enter the IP address of the DNS server.

Step 4. Click Add to save your settings.

Step 5. In the web configuration utility of the UC540W, choose System > SMTP Settings. The SMTP Settings page opens:

 

Step 6. In the External SMTP Server field, enter the address of the SMTP server of your choice.

Step 7. In the Security Mode drop-down list, choose the security mode used by the external SMTP server.

Step 8. In the Port field, enter the port number used by the external SMTP server.

Step 9. In the Username field, enter the email address that will send the email notifications to the users of the UC540W.

Step 10. Enter the password of the email address.

Step 11. Click Apply to save your settings.

Voicemail to Email Setup

After the setup of the SMTP server, you can now configure the voicemail of the users to send email notifications.

Step 1. In the Cisco Configuration Assistant, choose Configure > Telephony > Users/Extensions > Voicemail. The Voicemail page opens:

 

Step 2. In the Setup tab, in the Voicemail Notification, check the Enable Voicemail Notification check box.

Step 3. In the Notification tab, in the Extension drop-down list, choose a user to send voicemail notifications.

Step 4. Check the Notify User of New Voicemail via Email check box to enabe email notifications.

Step 5. In the Email Address field, enter the email address of the user.

Step 6. In the attachment field, check the Attach Voicemail File to Email Message check box to attach the audio file of the respective voicemail in the email notification.

Step 7. In the Notification Level drop-down list, choose All Voicemail, to receive email notifications everytime you have a voicemail.

Step 8. Click OK to save your configuration.

Step 9. In the Voicemail window, click OK to save your settings.

Microsoft Outlook Setup

The final configuration is to set Microsoft Outlook to receive IMAP (Internet Message Access Protocol) emails for the voicemails notifications. IMAP allows you to receive voicemail notifications via email. For this procedure, Microsoft Outlook 2010 is used.

Step 1. In Microsoft Outlook, choose File > Account Settings > Account Settings. The Account Settings window opens:

Step 2. Click New to create a new account. The Add New Account window opens:

Step 3. Click Manually configure server settings or additional server types to enter the proper information about the email account.

Step 4. Click Next to continue.

Step 5. Click Internet E-mail to configure the IMAP server to receive e-mail notifications.

Step 6. Click Next to continue.

Step 7. In User Information, in the Your Name field, enter your name.

Step 8. In the E-mail Address field, enter the email address you will use to retrieve IMAP notifications.

Step 9. In Server Information, in the Account Type drop-down list, choose IMAP.

Step 10. In the Incoming mail server field, enter the domain name of the IMAP service of your choice to be able to receive IMAP email notifications.

Step 11. In the Outgoing mail server (SMTP) field, enter the domain name of the SMTP server of your choice to send emails.

Step 12. In Logon Information, in the User name field, enter your email address as the user name for this Outlook account.

Step 13. In the Password field, enter the password of your email account.

Step 14. Click More Settings. The Internet E-mail Settings window opens:

Step 15. In the Advanced tab, in the Incoming Server (IMAP) field, enter the port number for encryption according to the IMAP server of your choice.

Step 16. In the Use the following type for encrypted connection drop-down list, choose the type of encryption the IMAP server uses.

Step 17. In the Outgoing Server (SMTP) field, enter the port number for encryption of the SMTP server of your choice.

Step 18. In the Use the following type of encrypted connection drop-down list, choose the encryption type the SMTP server uses.

Step 19. In the Outgoing Server tab, check the My outgoing server (SMTP) requires authentication check box to enable authentication.

Step 20. Click Use same settings as my incoming mail server to use the settings already configured.

Step 21. Click OK to save your settings.

Step 22. Click Next to continue.

Step 23. Click Finish to end with the configuration. Now you can receive IMAP email on Microsoft Outlook for your voicemail notifications, similar to the one shown below:

Hello - I don't know much about the UC540W. Is it still available or is there other products I could use to achieve this. I currently have 2 x SPA504G working but am still yet to setup SPA9000 + SPA 400. Is the UC540W compatible with SPA9000+SPA400?
