Is it possible to have Voicemail Boxes for Users without a Phone?

Is it possible to have Voicemail Boxes for Users without a Phone?

We have a client asking if they can have 20 voicemail boxes but only 15 physical phones.  Is it possible to create this set up in a UC540?

Would it require setting up "extensions" for each mail box even though some would not ring a phone?

Also, will the users be able to access their voicemail from any phone?

Hello Paul,

You may create floating extentions with CCA and create mailboxes for them. These extensions are not assisgned to any phone practically.

Paul,

There are a couple ways to do what you ask, both using CCA and keeping the UC540 system configured using CCA so it's supported by Cisco.

First, Open CCA> Configure>Telephone>Users/Extensions>Users and Phones and uses the second tab for "Floating Extensions"

Second, same path third tab "Extension Mobility"

The first is easiest and probably really what you are looking for. The Floating extension will act just like any other extension and the receptionist can transfer to them and the caller will be prompted to leave a voicemail. The users will need to use the extension programmed into the UC540 as the Voicemail extension (normally 399).

Process for users to access their Voicemail box, use any phone dial (Voicemail Extension 399) when prompted for the password simply dial * and the system will then prompt for the user ID (their Floating Extension) enter it here and the system will then prompt for the password which you will have programmed when setting up the Floating Extension. The user can then setup their Voicemail box and use it like any other user with a phone and Extension on the system.

Alterantely you can also setup a DID number to Voicemail which users can then call in remotely or locally to the Voicemail system which will eliminate the need to press the * key to prompt the system to ask for the "UserID".

Extension Mobility, would need more setup and is normally used in an environment where some of the phones are in a group like a call center. Those phone would then be setup to have users log on to them with the Mobility button which you'll need to enable. This allows the phone to have a user with a Mobile extension change mobility enabled phones to their extension.

Attached is a pdf with screenshots of the two options I am talking about.

Paul,

You can seutp voicemail boxes.  You would have to setup the extensions, which I am not sure if you can do through the CCA.  You would be able to access the voicemail from any phone using the xml application.

If it was a general delivery mailbox, then you could set it up to only be accessible from certain other mailboxes.

Chris, thanks, but they are not looking for GDM.  They want individual voicemail for everyone.
