Introduction

Copy any or all parts of this document to create your own.

 

Create a New Document

Follow these steps to create and edit a document in the Cisco Community.

  1. Go to community.cisco.com and Login

  2. Navigate to the community where you want to create your document such as Cisco Community > Technology and Support > Security 
  3. Click on ⊕Document, use the Freeform template and click on Start Article to create a new document :

  4. A Title and choosing one or more Labels is required for publishing

  5. There are 3 tabs to edit and view your document

    • Rich Text: create your document using the toolbar for basic formatting
    • HTML: edit the raw HTML of your document for complete creative control
    • Preview: see how your document will render when you Publish
  6. It's good to provide a note about what changes you made with each document revision.

    Note: Selecting the ☑ Minor edit option will not send a notification to anyone that has subscribed to the document. This is generally recommended especially if you a making many changes to prevent unnecessary notifications.
  7. When you are ready to stop editing your document, you have 3 options :

    • Cancel: Stop editing and lose all content or changes
    • Save: Save the document to the Drafts document area but do not Publish for others to see
      Note: Anyone in the community can see your Drafts if they know where to look so be careful about saving a draft of unannounced or time-sensitive information!
    • Publish: Save the document and publish for the entire community (and world) to see!

 

Adding Tags

  1. Scroll to the bottom of your document and select Add tags :

  2. Add any and all tags related to your document topic following these rules :
    • Use all lowercase letters
    • Use a hyphen/dash instead of a spaces
    • Separate tags using commas
  3. Click the Add button when you are done adding tags.

 

Attachments

You are limited in the number and size of attachments to a document:

  • 5 attachments per document
  • 100MB total size for all attachment to a single document

 

Blocking Comments

While it's great to engage readers of your documents, history has shown that users tend to post questions about their scenarios related to your document rather than provide actual comments about your document.

To disable Comments on your document:

  1. At the upper right of your document, choose ⋮Options > Block New Comments :

  2. You may re-enable Comments at any time by choosing ⋮Options > Allow New Comments

And if you think "I'll just delete those comments from my document...", deleting other users comments is highly discouraged by the Community Managers.

 

Saved Draft Documents

When you choose to Save a document rather than Publish, it goes into a Drafts document area. It is almost impossible to find the Drafts area if you don't bookmark it when you Save your Draft so I've shared a couple here so you can see how to get to where you save your document:

image.png Warning: All saved Drafts are Public! Anyone - even search engines - can access these if they know the URL. Please do not Save any un-announced or or other time-sensitive content in a Draft because it could be found and leaked!

 

Rich Text Toolbar

The Rich Text toolbar has many features to create HTML documents.

Table of Contents

Use the Table of Contents feature to insert a dynamically-generated contents list at the top of your document.

Note: It is recommended to change the Number of heading levels to include to 3.

 

Clear Formatting

If you copy and paste text and elements from other sources (Word, Powerpoint, etc.) you may find that maintains some of it's old formatting attributes.

To clear the formatting, simply select your pasted content and use the Clear Formatting tool to clean it up!

 

Insert/Edit Link

Select text and click on Insert/Edit Link to add a hyperlink or edit an existing link.

Photos

Use the Photos feature from the Lithium toolbar to add images to your document.
Note: You may not simply paste images into the document - you must use the Photos tool.

  1. To insert a video into your document, simply select Video from the Lithium toolbar:

    and you will be prompted to upload or choose an image :

  2. You have several options for Upload images to Lithium:
    • Click on the highlighted area and Paste (⌘+v) a copy of your image/screenshot    
    • Choose a file from your computer
    • Choose an image from a URL
    • Choose a previously Saved Photo from your albums
      image.png You may select elements in a Powerpoint slide then copy and paste them as an image directly into the Lithium Photos tool!

  3. Choose a folder to save the Photo into for use in the future

  4. Select the Size (Small, Medium or Large) and Position (Left, Right, Center) of the image in the document:
    image.png Note: It is recommended to keep the default Position (Left inline) of the image.
  5. Select Done to see the image in your document.
  6. If you want to change your image (Size, Position,etc.), you may simply click the ✎ Edit icon in the upper right of the image to open it in the Photos tool.

 

Videos

You may insert videos into your documents from your computer or other websites like YouTube.

  1. To insert a video into your document, simply select Video from the Lithium toolbar:

  2. You will be prompted for how you would like to upload or embed the video.
    You must include a Video Title .
    It is recommended to use the Original Video Size .

  3. Click Insert Video to upload or link the video.
    Depending on the size of your video, it may take a while to upload.
    After you close the dialog, it may need to be processed by Lithium for display.

 

Insert Code / Preformatted

You may use either the Insert Code feature or Paragraph > Preformatted to add snippets of programming code (HTML, XML, JSON, etc.) into your documents. Both utilize the HTML <pre> tag to render the content.

Steps

Use numbered lists for ordered lists of steps. Here are some examples for you :

  1. Create a numbered list using the image.pngfrom the Rich Text toolbar:

  2. Use bold to highlight menus and actions
  3. Use the > (right angle / greater than) to show menu hierarchies. Example:
    System > Settings >
  4. For multi-line steps, use ⇧+⏎ (Shift+Return) to create a line break.
    This allows you to create a new line without a numbered step.
    You can do more than one line this way.
  5. You can use ⇧+⏎ to create a single-line space between steps if you think it looks nicer:

  6. Multi-line steps are also very helpful when you want to include an example picture for context :

    image.pngWarning! Be careful about using a screenshot image with every single step. This will save you a lot of time in document creation and even more time when there are changes to the GUI so you don't have to re-configure and re-take every image.

  7. Rather than showing an image for every configuration settings, consider using a table instead :

Printing or Saving to PDF

Some people will inevitably want to save an offline copy as a PDF or some other format. To help them with this, include the following alert at the top of your document to show them how they may easily do this :

image.png For an offline or printed copy of this document, simply choose ⋮ Options > Printer Friendly Page. You may then Print, Print to PDF or copy and paste to any other document format you like.

 

Microsoft Word to HTML Conversion

Many people prefer to use or already have a document written in Microsoft Word format. However if you simply export a Microsoft Word document as HTML (File > Save As ... HTML), Microsoft will try to preserve your document with precise formatting to replicate it's appearance as faithfully as possible. While this is a nice thought, it adds a ridiculous amount of verbosity and styling that we frankly neither need nor want when converting to a responsive HTML document on the web. For this reason, we recommend using a separate tool altogether: Pandoc.

Pandoc HTML Conversion

  1. Download the latest software from http://pandoc.org > Installing
  2. Open a Terminal :
    • macOS: Applications > Utilities > Terminal
    • Windows: Run Command Prompt (cmd.exe) or Powershell
  3. In the Terminal, change directories (cd) to your document that needs conversion
  4. Run the following command to convert your source document (-s my_document.docx) to type HTML (-t html) and output it to an HTML file (-o my_document.html):
    pandoc -s my_document.docx --wrap=none -t html -o my_document.html
  5. Open your my_document.html file using a text editor, select all of the HTML and copy it (⌘+c)
  6. Create a new document in the Cisco Community using the instructions in the next section if you need it.
  7. Switch to the HTML document view
  8. Paste your my_document.html code into the HTML textarea
    image.png Warning! The Cisco Community has a limit of 200,000 characters for documents! If you try to save a document that exceeds this limit you will get an error below the Article Body text area:

  9. Switch back to the Rich Text document mode and you should see a faithful rendering of your document!
    image.png Note: The Table of Contents (ToC) will not be dynamically updated if you make changes. Delete the Word-converted ToC and insert a Lithium-generated Table of Contents in it's place using the Rich Text Toolbar.
    image.png Note: All document images will be missing because you must upload these separately into Lithium. You may do this using screenshots (macOS: ⌘+Ctrl+⇧+4) from your existing Word document or copying diagrams from Powerpoint (⌘+c) and pasting them (⌘+v) into Lithium's Photos tool.

 

Cisco UI Standards

The Cisco Communities uses the Cascading Style Sheets (CSS) classes from the Cisco UI Kit @ Version 1.2.2.  It contains a huge number of pre-built UI Patterns that comply with the Cisco Brand and Palette with Examples of how to use them.

 

Alerts

While the Cisco UI Kit Alerts look nice when finally rendered, they are not actually visible in the Lithium Rich Text Editor. For this reason, you may want to use similar icons in a table with hidden borders for the same effect.

Cisco Icons

While there are many Cisco UI Kit icons available, they can be difficult to use because they do not render directly in the Rich Text view of the Lithium editor. This makes it difficult to visualize your final document flow until you select the Preview view or actually Save/Publish your document. For that reason, you may want to substitute Unicode Characters and Icons for some basic icons.
