Preload and save a whiteboard

I would like to prepare a whiteboard in advance of a Webex Meeting to share during the meeting. Is this possible?

Hi @CPadberg ,

For a scheduled meeting, I don't believe there is a way to do this - I've tried.

Workarounds

I use both these methods

Use another App

MY workaround is to use a completely different App(Concepts Pro) to prepare my whiteboards  and then share my screen when it's time - but it's not an interactive whiteboard (although you can turn on the ability for people to annotate - which disappear later)

Use a Webex Space and EURL bot

BUT another workaround that I use is to create a Webex Space for every meeting I host, and I put my shared whiteboards there - as well as giving participants a place to send messages and share stuff

NOW - another approach that MIGHT work for you is to create a Space in Webex.  I'd suggest a name like

2022.06.0@10:00 -Meeting for xxxxxxxxxx

I.e. some name with the time and date of the meeting in the name.  You then can either

  1. Add people to the meeting my email (sigh! ONE AT A TIME), or
  2. Use the EURL bot to create a URL (and a QR code if you want) that you email to everyone (this is what I do)

Now you have a Space, you can start adding content to the Space, and, at the time of the meeting, click the Meet button in the Space

There are some advantages and disadvantages with this

Advantages

  • Your meeting now has a history and a place where all the documents relating to that meeting are accessible
  • Participants can continue discussions after the meeting has finished

Disadvantages

  • Participants can leave the space at will - then ask "where is that stuff?"
  • There is NO scheduling option - the meeting starts when you click start
    • Sometimes this is OK - especially if there is a series of meetings - after all, this is the whole idea of a Space
  • Your Webex Spaces list can become full of past meetings - remember, if you leave the space, you can't get back in easily
