Add a Webex meeting in behalf of someone else in Outlook

Hello everyone

We are migrating from the Outlook Webex Productivitiy Tools to the new Webex Scheduler for Outlook (Exchange on-premise). With the Webex Productivity Tools the steps to create an Meeting in behalf of someone else where like this:

  1. I open the Outlook calender from the othr user
  2. I create the meeting within the calender of the other user and add a Webex meeting via the Productivity Tools plugin which shows, that i am creating this meeting in behalf of the other user
  3. The meeting (including the Webex meeting) then was then created directly in the Outlook calender of the other user and he could see and edit it trough Outlook.

But now, with the new Webex Scheduler for Outlook its not working this way.

  1. I open the Outlook calender from the othr user
  2. I click on the "Add Webex Meeting" Plugin and a message appears, that this ist not supported (see attached picture).

So how can i create an appointment for the other user if this not works?

I can create a new appointment in my own calendar an choose the other user under "Schedule for" in the Webex plugin options. But this does not create an Outlook entry in the calendar of the other user. It only creates an Webex appointment.

So the other user does not see this appointment in his Outlook calendar, only in his Webex app.

This is not usable for us this way.

Anyone know how we can do this with the new Webex Scheduler Plugin?

Thanks in advance for any advice!

Hi Daniel,

you are welcome! Unfortunately, yes. Although it is due to a Microsoft limitation. I am not 100% sure, but Add-Ins are the way to go (from point of view of MS) as opposed to plug-ins.

Best regards,

Igor

Hi @HunkIT,

this could be a limitation of the new scheduler add-in, when it is deployed in conjunction with on-premises Exchange and without Microsof 365 authorization:

  • You can't schedule meetings for other hosts using a shared calendar in Outlook without Microsoft 365 Authorization. The options appear grayed out due to a Microsoft on-premise Exchange limitation.
