We are scheduling a virtual Webex conference for over 3,000 with about 5 people coordinating over 100 individual sessions. All sessions have to be recorded so we're not able to use Webex Breakouts. I'm hoping to get suggestions on how other Webex customers have used Webex to host this type of meeting.
We are going to have about 25-30 people in each sessions with up to 25 simultaneous meetings for each 90 minute session. The 5 conference coordinators will be scheduling all the meetings and assigning the presenter as the co-host. They want to make sure each meeting room is opened on time for the attendees so they plan to open each Webex Meeting about 5-10 minutes before the start time. We need to know how many meeting rooms 1 host can have opened simultaneously. Is there an alternate way to manage this?
An analogy that might help to explain this would be a meeting coordinator having the only set of keys for a conference center. They have to go through and unlock all the rooms before the meetings begin and then go back later to make sure the presenter showed up to take over co-hosting that room.
We are also planning to have some sessions using Webex Events. I have the same question for these events as above regarding how many events can one person host simultaneously. Does the total include meetings and events or is the hosted Meeting count separate from the hosted Event count?
Has anyone else hosted an event like this that can provide how they managed a large virtual conference? Any suggestions or ideas are appreciated.
