I am trying to add a external user in the phonebook. Do I have to create a txt file or CSV file to add it?? If so, is there a format of the CSV file with columns to enter the data and upload it??
You can create a phonebook source type of "Manual List" and type in your contacts there. Then create a phonebook and add the source to it. That should do the trick.
